IT handover plan for your Noida office move
Your office move should have one pickup owner and one delivery owner. If your systems, files and chairs arrive but nobody knows what goes where, your team loses time.
Before the mover arrives, mark each workstation with a department or seat number. Put cables, mouse, keyboard and small accessories into labelled bags. Photograph your network rack, printer setup and any special device before disconnecting. If you have a server, NAS, CCTV recorder or biometric machine, your IT person should supervise packing.
At delivery, your mover should place cartons and systems by label, not dump everything near reception. You should keep a simple checklist: systems received, monitors received, file cartons received, furniture assembled, damaged item photos taken and packing waste removed. That checklist is boring, but it is what gets your office working again.
Our team has seen office moves where the transport was fine but the handover was messy. The quote looked cheap because labelling and placement were never discussed. Ask for those lines now. Your accounts team can read the GST invoice later, but your staff need their desks ready the next morning.
If your move is after-hours, confirm who opens the building, who signs security forms and who stays until the last truck leaves. A night move without a responsible person at both ends is not a plan.
For file-heavy offices, number cartons by department and keep one master sheet with your admin person. Legal, finance, HR and client files should not mix. If a carton is confidential, mark it and keep it under staff supervision. The mover can carry it, but your team should control its handover.
For IT-heavy offices, do not let movers disconnect systems without your IT approval. Movers can pack and carry systems safely, but network order, login equipment, backup drives and server shutdown need your person. Write this split into the quote so nobody assumes the mover is handling technical reconnection.
If your office is in Sector 62 or Sector 63 and the new office is on the Expressway, check both building timings. Some buildings allow goods movement only after working hours. Some need prior mail approval from facility management. Your quote should carry that window because crew timing changes cost.
Before final payment, check that desks, chairs, monitors, CPUs, printers and file cartons reached the right zones. You do not need every computer switched on immediately, but you should confirm visible damage and missing cartons before the crew leaves.
